A detailed look at our on-boarding process.

Our Process

BYSSI Community Animators are available on-site or by phone to connect with parents, students and administrators for the schools listed above. Once a youth or caregiver expresses interest in the BYSSI program they will have the option of learning more about BYSSI afterschool supports. BYSSI partner agencies provide these programs and supports directly after school hours to remove the possible barrier of transportation.

Once a student/family is connected with the BYSSI program, an information session will be scheduled. At the end of that meeting if the family decides that BYSSI supports would be helpful for the student, an intake package will be completed to enroll the student. Where possible, school administrators are encouraged to participate in this process and identify potential areas of support for the student. The information provided through the intake process will be used to create a unique ‘plan of care’ for the student based on their identified needs and interests.

This plan is then brought back to the student and family for approval. The student plan of care will include the following:

  • The type of supports that would be helpful

  • How frequently and the duration of the supports

  • The agencies that would be involved in delivering the services/supports

  • The goals of the ‘plan of care’ and how BYSSI will track progress

Once the plan of care is finalized and approved, the student is then enrolled and the supports begin according to the timeline. At anytime the parent or guardian can choose to end the program.

Identification (School and Parent):

School first touch point, teacher might notice difference, teacher consults their appropriate parties (councillor/ admin), school will use their process to consult parent, others, discuss if BYSSI is an option. BYSSI animators will also be available in schools to conduct outreach and engage with students.

Referral (BYSSI Office):

BYSSI is contacted by school, school will brief BYSSI staff on student, high level background, and start process to schedule first BYSSI assessment.

Documentation/Assessment (BYSSI School Parent):

BYSSI visits school, first assessment conversation with School and Parent on student, situation, BYSSI program and goals, first BYSSI assessment done by Animator (Parent introduction).

 

Documentation/Assessment (BYSSI Agencies):

Animator begins to compile info, creating draft action plan/ proposal using data collected and data on the agencies in the BYSSI.

Approvals/Planning (Plan School & Parent):

After creating plan of care and going through internal governance protocols, the action plan is presented to school, student and parent. Parents must sign of on plan, and forms needed.

Approvals/Planning (BYSSI Agencies):

Through the process and database setup with the agencies the animator will set programming, duration, expectations, tracking, resources and confirm with agencies and get sign offs needed.

Program Begins (Youth in Progress):

Youth will be admitted into program support. Youth will go through curriculum support set out, tracked, and followed up with throughout project period. (animator engages family)

Program is Tracked (Tracking Review): 

Youth progress will be tracked, agencies supports will be tracked, Schools, parents, and BYSSI will receive updates and check-ins and reviews will be done by evaluation committee.
